Warranty claim letter: Certified Mail letter template

Send this letter by Certified Mail

Pre-filled template, USPS tracking and Electronic Return Receipt

Written consumer product warranties are governed by the federal Magnuson-Moss Warranty Act and state law: the warrantor must honor the promises made in the warranty document, whether that is repair, replacement, or refund.

A formal warranty claim identifies the product and serial number, dates the purchase, confirms the warranty is in force, describes the covered defect factually, and asks for the specific remedy the warranty provides, within a stated time. It requests written shipping or service instructions so the process cannot stall on logistics.

Certified Mail with Electronic Return Receipt proves the claim was made during the warranty period, which is the fact that decides most warranty disputes.

Frequently asked questions

Answers to the questions we hear most often about this letter.

What is the difference between an express and an implied warranty?

An express warranty is what the seller or manufacturer promises in writing or in advertising. Implied warranties arise automatically under state law, such as the warranty of merchantability. A written warranty claim can invoke both, and the Magnuson-Moss Act limits how far written warranties can disclaim the implied ones.

Who pays for shipping the product back?

The warranty terms decide. Many warranties cover return shipping or provide prepaid labels; the template asks for a prepaid label where the warranty covers shipping, so the cost question is answered in writing before you send anything.

What if the manufacturer refuses or ignores the claim?

Follow up with a firmer demand, then consider a complaint to the Federal Trade Commission and your state attorney general, a card chargeback where timing allows, or small claims court. Your dated claim letter proves the defect was reported within the warranty period.

Does repairing the product reset the warranty?

Some warranties extend coverage on repaired or replaced parts, others do not. Keep the repair records and the written correspondence: repeated failed repairs of the same defect strengthen a demand for replacement or refund.
