Terms of Service
Last updated: August 12, 2026.
1. Who we are and what these terms cover
certified-mail-online.com (the “Service”) is operated by [COMPANY LEGAL NAME] (“we”, “us”, “our”). These Terms of Service (the “Terms”) govern your access to the website and your use of the Service, including all orders and subscriptions. By using the Service or placing an order, you agree to these Terms.
The Service lets you prepare a letter online. We print it, seal it, apply postage, and hand it to the United States Postal Service as USPS Certified Mail with Electronic Return Receipt. USPS® and Certified Mail® are registered trademarks of the United States Postal Service. This website is a privately operated service and is not affiliated with, endorsed, or operated by USPS.
2. The Service
When you place an order, we produce your letter and hand it to USPS the same business day if your order is confirmed before 2:00 PM Eastern Time, or the next business day otherwise. Once your letter is in the USPS network, transport and delivery are performed by USPS. We provide proof of mailing, tracking events as reported by USPS, and the signed Electronic Return Receipt when USPS makes it available. We do not control USPS transit times and we do not guarantee delivery or a delivery date.
3. Trial offer, subscription, and billing
Your first order is a one-time trial purchase billed at the all-inclusive price shown at checkout for your chosen sending type (printing, envelope, postage, USPS fees, and Electronic Return Receipt where included). The trial includes enrollment in our monthly plan: unless you cancel during the trial period stated at checkout, your subscription starts automatically at $49 per month and includes 10 letters per month.
In accordance with the Restore Online Shoppers’ Confidence Act (ROSCA), all material terms of the subscription (price, billing frequency, renewal, and how to cancel) are disclosed on the checkout page before you pay, and we collect your express informed consent before charging your payment method. Your subscription renews automatically each month until you cancel.
You can cancel at any time, effective at the end of the current billing period, using the same simple online mechanism you used to sign up: from your account page, via the cancellation page, or by emailing support. No phone call is required. Unused monthly letters do not roll over to the next month.
4. Refund policy
If your letter is not mailed, you receive a full refund of the amount paid for that letter, no questions asked. You may cancel an order free of charge at any time before it enters production. Once a letter has been handed to USPS, the mailing has been performed and that letter is no longer refundable, but our support team will always review issues case by case. Refunds are issued to the original payment method.
5. Proof storage
Your proof of mailing, USPS tracking history, and signed Electronic Return Receipt are stored in your account and remain available for download for 3 years from the mailing date, even if you cancel your subscription.
6. Your responsibilities
You agree to provide accurate information, including sender and recipient addresses, and to use the Service only for lawful mailings. The following are prohibited: content that is illegal, defamatory, threatening, or harassing; impersonating a third party as the sender; and any attempt to disrupt the operation of the website (bulk data extraction, circumvention of security measures, code injection). We may refuse a mailing that is plainly unlawful and may suspend access to the Service in the event of a serious breach of these Terms.
You remain solely responsible for the content of the documents you write or upload. We act as a technical provider for printing, enclosing, and handing mail to USPS: letters are not read, and processing is automated. Writing suggestions offered in the editor are drafts that you must review and approve before sending. Nothing on this website is legal advice.
7. Intellectual property
The texts, design, illustrations, and code of this website are protected by intellectual property laws. Any reproduction or reuse without prior written permission is prohibited. The letter templates we provide may be freely used for your own mailings, excluding any redistribution.
8. Disclaimers and limitation of liability
The Service is provided on an “as is” and “as available” basis. We work to keep the website available at all times but do not guarantee uninterrupted availability: maintenance, updates, or technical incidents may temporarily suspend access. Informational content on this website (legal value of mailings, timelines, cited statutes) is provided for general information only and does not constitute legal advice.
To the maximum extent permitted by law, our total liability arising out of or related to any order is limited to the amount you paid for that order. We are not liable for indirect, incidental, special, or consequential damages, or for delays, loss, or non-delivery occurring within the USPS network. Some states do not allow certain limitations, so some of the above may not apply to you.
9. Privacy
Our handling of personal information is described in our Privacy Policy, including your rights under the California Consumer Privacy Act (CCPA/CPRA).
10. Governing law and changes
These Terms are governed by the laws of the United States and the state indicated in our legal information, without regard to conflict of laws principles. If a dispute arises, we will first seek an amicable resolution; failing that, the competent courts will have jurisdiction. We may update these Terms at any time; the applicable version is the one published on this page at the time of your use. If we make material changes to subscription terms, we will notify you before they take effect.
