Information we collect
To provide the service, we process: account information (name, email address, encrypted password), the sender and recipient postal addresses, the content of the documents you send, payment information (processed by our payment provider, never stored on our servers), proof of mailing and Return Receipt records, and the technical connection data needed to keep the service secure.
How we use your information
We use your information to perform the service you ordered (preparing, mailing, and tracking your letters, managing your account and subscription), to comply with our legal obligations (invoicing, accounting), and for our legitimate business purposes (service security, fraud prevention, product improvement, and measuring our advertising).
How long we keep it
The content of sent documents is kept for 90 days after mailing, then deleted. Proof of mailing, tracking history, and signed Return Receipts are kept in your account for 3 years from the mailing date. Account information is kept while your account is active, then deleted or anonymized after closure, subject to legal obligations. Billing records are kept as required by tax and accounting rules.
Service providers
We share personal information only with the service providers needed to run the service, and only the data necessary for their task: Supabase (database and document storage), Vercel (application hosting), our print and mail production partner (printing, enclosing, and handing your letter to USPS, with deletion of address data after mailing), our payment processor, and Resend (transactional email). We do not sell your personal information, and each provider is bound by contract to process it only on our instructions.
Confidentiality of your documents
Your documents are encrypted in transit (HTTPS) and are only accessible to the automated production chain for the time needed to print and mail your letter. No staff member reads the content of your letters unless you explicitly ask support to do so.
Your California privacy rights (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you the right to know what personal information we collect and how it is used, the right to access and receive a copy of it, the right to correct inaccurate information, the right to delete it, and the right to opt out of the sale or sharing of personal information. We will never discriminate against you for exercising these rights.
To exercise any of these rights, email contact@certified-mail-online.com with the subject line “Privacy request” or use the contact page. We verify each request and respond within the timeframe required by law. You may also designate an authorized agent to submit a request on your behalf.
Do Not Sell or Share My Personal Information
We do not sell your personal information for money. Like most websites, we use advertising measurement tools (Google Ads, Microsoft Advertising) that may qualify as “sharing” under the CPRA. To opt out of this sharing, email contact@certified-mail-online.com with the subject line “Do Not Sell or Share My Personal Information” and we will disable advertising measurement for your browser and account. We also honor the Global Privacy Control (GPC) signal sent by your browser.
Cookies
The website uses cookies that are strictly necessary to operate the service (session, security, saving your draft) and advertising measurement cookies (Google Ads, Microsoft Advertising, such as _uetsid and _uetvid) used to measure the performance of our campaigns. You can block cookies in your browser settings and opt out of advertising measurement as described above.
