Maintenance demand to the HOA: Certified Mail letter template
Pre-filled template, USPS tracking and Electronic Return Receipt
CC&Rs divide maintenance duties between owners and the association: common areas, roofs, fences, drainage, and structural components are frequently the association's responsibility. When it fails to act, a formal written demand converts complaints into a record.
The demand recites the history: what the problem is, which provision assigns it to the association, when you first reported it, and what has happened since. It sets a deadline to commence the repair and reserves your rights, including recovery of damage to your property caused by the delay.
That documented notice matters: if the condition worsens or causes damage, the association can no longer claim it did not know. Certified Mail with Electronic Return Receipt proves receipt and the date.

Re: Demand for Maintenance / Repair, Property at [property address]
Sent via USPS Certified Mail with Electronic Return Receipt
Dear Sir or Madam,
I am the owner of the property referenced above and a member of [association name]. This letter is a formal demand that the association perform the following maintenance or repair for which it is responsible under the governing documents: [describe the issue: leaking common-area roof above my unit, broken perimeter fence, failed drainage causing water intrusion, unsafe common walkway, etc.].
The association's responsibility for this item arises from [cite the CC&R or bylaw section assigning maintenance of this component to the association, if known]. I first reported this issue on [date and method of the first report], and again on [dates of any follow-ups]. To date, [describe the response: no action has been taken, a temporary patch failed, etc.].
The condition is causing [describe consequences factually: ongoing water damage to my unit, a safety hazard, deterioration that will increase repair costs]. Enclosed are [photographs with dates, contractor assessments, prior written reports].
I demand that the association commence the repair within [14 or 30] days of receipt of this letter and complete it within a reasonable time, and that it confirm the schedule to me in writing. If the association fails to act, I reserve all rights and remedies available under the governing documents and state law, including recovering any damages to my property caused by the delay. This demand is sent via USPS Certified Mail, and the signed Electronic Return Receipt will serve as proof of the association's receipt.
Sincerely,
Mr. First name Last name
